What you need to know
Select any section below to read the full details of how we handle your information.
What information we collect
We may collect the following personal information:
– Name, email address, and phone number when you contact us through our website or email
– Professional information including job title, employer, career history, and LinkedIn profile when you engage with us as a candidate or client
– Technical data including IP address, browser type, and pages visited when you use our website
– Any additional information you choose to provide in correspondence or meetings
– Recordings and transcripts of interviews and calls, where we have told you beforehand and you have agreed
How we collect information
We collect information:
– Directly from you when you contact us, submit a form, or engage in a search process
– From publicly available sources including LinkedIn and company websites
– From referrals by clients, candidates, or professional contacts
– Automatically through cookies and analytics tools when you visit our website
How we use your information
We use personal information to:
– Provide executive search and recruitment services
– Communicate with you about roles, market insights, or our services
– Assess suitability for positions we are retained to fill
– Improve our website and services
– Comply with legal obligations
We will not sell your personal information to third parties.
Disclosure of information
We may share your information with:
– Clients, where you have been presented as a candidate for a specific role and have given your consent
– Service providers who assist our operations (e.g., CRM, email, analytics), bound by confidentiality obligations
– Regulatory or legal authorities where required by law
Recording and transcription of interviews
We record and transcribe most interviews and calls. We tell you before the conversation starts rather than afterwards, and we ask for your agreement first.
– If you would rather a conversation was not recorded, tell us and it will not be. That has no bearing on how you are considered for a role.
– We use the recording and its transcript to write up how you presented against what the role is being assessed on, and to check that what we tell a client is something you said rather than something we inferred.
– A client receives our written summary, in our words. Your recording and its transcript are not passed to a client, and you are not quoted to a client word for word.
– Where a client runs an interview on their own platform, the decision to record it is theirs rather than ours, and we will tell you whose call it is.
– We use software providers to transcribe interviews and to help produce that written summary. They are service providers as described above and are bound by the same confidentiality obligations.
– You can ask us at any time to see, correct or delete what we hold from a recording. Write to jake.rose@innova.com.au.
Cookies and analytics
Our website uses cookies and third-party analytics tools (including Google Analytics) to understand how visitors use the site. You can control cookie preferences through your browser settings.
Data storage and security
We store personal information using industry-standard security measures. Data may be stored in Australia or overseas where our service providers operate. We take reasonable steps to ensure overseas recipients comply with the Australian Privacy Principles.
We keep personal information for as long as we need it for the purposes described in this policy and to meet our legal obligations. We take reasonable steps to destroy or de-identify it when we no longer need it. You can ask us to delete information we hold about you at any time, and the “Your rights” section explains how.
Your rights
Under the Australian Privacy Act 1988, you have the right to:
– Access the personal information we hold about you
– Request correction of inaccurate information
– Request deletion of your information, subject to legal obligations
– Opt out of marketing communications at any time
To exercise any of these rights, contact us at jake.rose@innova.com.au.
